Privacy Policy
Last updated: 29 October 2026
Ultimate Personal Training (“we”, “us”) is run by George Coudounellis. We take the privacy of our clients and website visitors seriously. This policy explains what personal information we collect, why we collect it, how we look after it, and how you can access or correct it. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.
Information we collect
When you enquire through the website, we collect your name, email address, phone number (if you give it), the services you're interested in and anything you write in your message.
When you become a client, we may collect:
- your name, email address, phone number, date of birth (or birth year) and sex
- body measurements and assessment results, such as weight, height, skinfold measurements, girth measurements and body fat estimates
- your goals, notes from your sessions and assessments, and the training and nutrition plans we prepare for you
- health information you tell us so we can train you safely, such as injuries, physical limitations, food allergies or dietary needs. New clients usually give this in our lifestyle questionnaire, which is emailed directly to George and isn't stored on this website.
- before and after photos, only if you choose to have them taken
- records of payments you make to us
When you use the client portal, we create a login linked to your email address. Your password is stored securely by our login provider in a form that nobody, including us, can read.
Health information
Measurements, body composition results and information about your health are “sensitive information” under privacy law. We only collect it with your consent and only when it is needed to provide your training, nutrition and assessment services. We do not use it for any other purpose without your consent, unless the law requires or allows it.
How we use your information
- to reply to your enquiry
- to provide personal training, assessments, nutrition plans, training plans and the 12 Week Challenge
- to track your progress and show your results to you in the client portal
- to contact you about your sessions, plans and account
- to arrange payment and keep business records
- to meet our legal obligations
We will only use before and after photos on our website or social media with your written permission, and you can withdraw that permission for future use at any time. We do not sell your personal information, and we do not use it for third-party advertising.
Who we share it with
We use a small number of trusted service providers to run the website and client portal. They handle your information on our behalf:
- Supabase: database, client portal login and document storage (stored in India)
- Vercel: website and client portal hosting (runs in Sydney, Australia)
- Resend: delivers website enquiries and lifestyle questionnaires to George, and client portal emails (such as invitations and password resets)
We may also share information if you ask us to (for example, with your doctor or physiotherapist), if the law requires it, or if it is needed to prevent a serious threat to someone's health or safety.
Overseas storage
Our client database is stored in India. Our website hosting runs in Sydney, Australia, and our hosting and email providers are based in the United States, so some information (such as enquiry emails and technical logs) may be processed there. We choose reputable providers and take reasonable steps to make sure they protect your information.
Cookies and the website
The public website does not use advertising or analytics cookies. The client portal uses essential cookies only to keep you signed in. Our hosting provider keeps standard technical logs (such as IP address and browser type) to run and secure the website. The map in the contact section only loads if you click “Show map”. Google Maps then loads in your browser and may set its own cookies, under Google's privacy policy. Links to Google Maps and Instagram take you to those services, which have their own privacy policies.
How we protect it
Client records can only be seen by George Coudounellis and, through the client portal, by you. Each client can only see their own records. Information is sent over encrypted connections, access is protected by login, and changes to assessment results are recorded.
How long we keep it
We keep your information only for as long as we need it to provide our services or as the law requires. After that, we delete it or remove anything that identifies you.
Accessing and correcting your information
You can ask to see the personal information we hold about you, or ask us to correct it. Clients can also see their assessment results in the client portal. Contact George Coudounellis using the details below. We will respond within 30 days. If we can't give you access, we will explain why.
You can enquire without giving your full name, but we need a way to contact you in order to reply.
